Digital signatures: connect document version, status and evidence.

Connect a suitable signing service with document creation, signing and storage. Keep status and evidence together.

Clarify the required form before the technology

Bundesnetzagentur distinguishes electronic trust services and explains the role of qualified electronic signatures. An approval click is not necessarily such a signature. The appropriate procedure for your document process must be established before selecting a provider.

Then describe a specific transaction: who signs which version, in what order and by when? These details become the technical basis of the integration.

A completed browser session proves little

After calling a provider, the browser may return even though signing is still in progress or has been cancelled. The status must come from a verified provider response. Repeated callbacks must not create duplicate archived documents.

Keep the document version stable. If the content changes, clarify whether a new signing process is needed. A visible signature image alone proves neither that the document is unchanged nor which procedure was used.

Archive the complete result

The handover includes the signed original and the evidence required for the agreed process. Also test rejection, expiry and later retrieval. The responsible team must be able to identify which version was processed as the binding document.

A pilot with one document type and one provider limits technical dependencies. Add other contract types only after clarifying their requirements. Fees, identity checks and provider terms remain separately identified.
